Legal Assistant – Property Law

Description du poste
Responsibilities:
- Provide administrative and legal secretarial support to real estate law professionals.
- Review, edit, format, and transcribe a variety of legal documents.
- Compare documents using Litera Compare.
- Update client lists.
- Perform photocopying, printing, and document scanning.
- Monitor internal and external calls and initiate conference calls as required.
- Manage lawyers' calendars and email correspondence.
- Open new files and ensure ongoing administrative follow-up.
- Enter and update information in OnePlace.
- Coordinate travel arrangements and book hotels, restaurants, vehicles, and meeting rooms.
- Organize meetings, videoconferences, and client meetings, including catering arrangements.
- Prepare conflict search requests and follow up as required.
- Perform daily time-entry follow-up, as well as weekly and monthly reviews.
- Prepare monthly billing.
- Prepare expense reports, cheque requests, and trust account bank transfer requests.
- Prepare presentation materials as required.
- Maintain filing, reminder, and records management systems.
- Collaborate with other legal professionals, legal assistants, students, and articling students as required.
- Commission affidavits and administer oaths for lawyers and clients.
Exigences
What you will need to succeed:
- Diploma in Legal Secretarial Studies or an equivalent qualification.
- 7 years of experience in a private law firm supporting one or more legal professionals, ideally including a partner.
- Bilingual in English and French to support clients in both languages.
- Excellent verbal and written communication skills.
- Knowledge of legal procedures and practices.
- Proficiency with Microsoft Office and standard office software.
- Strong organizational skills with the ability to manage multiple priorities.
- Ability to work independently with minimal supervision.
- Strong team player.
- Exceptional attention to detail.
